Thinking About an AI Policy for Your School? Here's Where to Start.
A practical starting point for heads and senior leaders who know they need an AI policy — but aren't sure where to begin.

Artificial intelligence has become part of everyday school life faster than many expected.
Teachers are using AI to plan lessons, create classroom resources and reduce administrative workload. Pupils are experimenting with AI for homework, revision and research.
As a school leader, you are most likely asking the important questions about safeguarding, academic integrity and responsible use.
You also recognise that AI isn't going away. But your challenge — most likely — is knowing what to do next.
Should you write a policy before introducing AI tools? What should the policy actually include? How do you balance innovation with safeguarding?
If those questions sound familiar, you're certainly not alone.

For international schools operating in the EU, or those with campuses in Europe, the EU AI Act introduces requirements around AI literacy. If you are using AI at your school, in any shape or form, you will be expected to ensure that your staff have an appropriate level of understanding so they can use AI safely, responsibly and ethically.
Alongside this, the European Commission has published an AI Literacy Framework to help education settings prepare learners and educators for an AI-enabled future.
Even where the legislation doesn't directly apply, the direction of travel is clear. Schools are increasingly expected to demonstrate that AI is being used thoughtfully, ethically and with appropriate safeguards in place.

Questions to consider for your school
Artificial intelligence is becoming part of everyday life. Just as schools developed policies for internet use, smartphones and social media, AI now deserves the same thoughtful approach.
Rather than focusing on individual AI tools, it's more helpful to ask the bigger strategic questions.
Questions every school should consider
- In what situations could AI genuinely enhance learning?
- When should my school's pupils complete work independently?
- How can my teachers use AI responsibly?
- What training do staff need?
- How should personal data be protected?
- What do pupils need to know about using AI safely and ethically?
- How will we review and adapt our approach as AI continues to evolve?
These conversations will remain relevant, even as technology changes.
Build your AI policy around principles
One common mistake is writing policies that focus on today's AI tools.
The problem is that today's most popular platform may not be the one schools are using next year.
When Edu:Insight works with schools on AI implementation, we encourage leaders to keep policies simple, practical and principles-led. Rather than trying to account for every new AI tool that appears, we recommend that you focus on guidance that will still make sense in two or three years.
For example:
- Make sure that your staff remain responsible for all content they produce, even if AI helped create it.
- AI-generated content should always be checked for accuracy before it's used.
- Personal or sensitive information should never be entered into public AI platforms.
- Pupils should understand when AI can support learning and when independent work is expected.
- AI should support professional judgement, not replace it.
These principles provide a strong foundation, whatever new technology comes along.
How can teachers use AI responsibly?
Many of your teachers are already using AI to streamline everyday tasks.
Common examples include:
- Drafting lesson plans.
- Creating quizzes and worksheets.
- Adapting resources for different reading levels.
- Writing first drafts of parent communications.
- Summarising lengthy documents.
- Generating ideas for classroom activities.
Used thoughtfully, AI can reduce workload and free up more time for teaching, planning and supporting pupils.
But AI isn't perfect.
It can misunderstand context, invent facts and produce convincing answers that simply aren't true.
That's why every AI-generated output should be reviewed by a member of staff before it's shared or used in the classroom.
Don't overlook safeguarding and data protection
Any AI policy should sit alongside your existing safeguarding and data protection policies.
You should think carefully about questions such as:
- Can my staff enter pupil information into AI tools?
- Which AI platforms are approved for use?
- What guidance should pupils receive about sharing information online?
- How does AI fit within existing GDPR responsibilities?
- How will the school monitor and review the use of AI over time?
Many schools already have policies covering these areas. An AI policy simply brings those considerations together in one place.
An AI policy should evolve
One of the biggest misconceptions is that an AI policy needs to cover every possible scenario.
It doesn't.
Technology will continue to develop, and your policy should develop with it.
Reviewing your guidance each year gives schools the opportunity to reflect on what's working, update staff training and respond to new developments.
The aim isn't to predict the future. It's to provide clear, practical guidance that gives staff confidence today.
